Terms of Service

These terms are an agreement between you and Growth Training & Consulting Ltd (“Practopro”, “we”, “us”), a company registered in England and Wales (company number 13174612) with its registered office at 1 Fairface Way, Woburn Sands, Milton Keynes, MK17 8FJ, United Kingdom. They govern your use of the Practopro platform at practopro.com and the associated application.
By subscribing to, or using, Practopro you agree to these terms. If you are agreeing on behalf of an organisation, you confirm you have authority to bind that organisation, and “you” means that organisation.
The service
Practopro provides AI-powered training: video training modules, spoken role-play practice with an AI character, automated coaching feedback, and reporting for managers. It is delivered as software over the internet. We may change, add to, or remove features as the product develops; we will not make a change that materially reduces the core service during a period you have already paid for.
Accounts and organisations
- You need an account to use Practopro. You must give accurate details, including a real first name and surname, and keep your login credentials secure.
- Accounts belong to an organisation. An organisation’s administrators can invite members, assign roles, view members’ training activity and results, archive accounts, and manage billing. If your employer created your account, they control it.
- You are responsible for everything done under your account. Tell us promptly at customersupport@practopro.com if you believe it has been used without your permission.
- You must be at least 18 years old to hold an account.
Subscriptions, seats and billing
- Seats. Practopro is sold per learner seat at £25 per seat per month, and each seat includes an allowance of 15 AI practice minutes per period.
- Billing period. A period is 30 days, running from the date you subscribed — your own anniversary, not the first of the calendar month.
- Automatic renewal. Seats renew automatically at the end of each period, and the payment method on file is charged, until you cancel.
- Changing seat numbers.Administrators can add or remove seats at any time from Organisation → Billing. Changes are reflected in what you are charged from that point.
- Your seat allowance resets each period. Unused allowance minutes do not carry over into the next period.
- Prices are in pounds sterling and exclude VAT or other applicable taxes unless stated otherwise. We may change prices, but not during a period you have already paid for, and we will tell you before a change takes effect.
- Some customers buy on invoice under a separately agreed order or contract. Where that agreement conflicts with these terms, that agreement takes precedence for that customer.
Practice minute bundles
- Beyond the seat allowance, practice minutes can be bought in one-off bundles: 100 minutes for £100, 500 for £475, 1,000 for £850, or 5,000 for £3,500.
- Purchased minutes do not expire. They are a one-off purchase, not a subscription, and they remain available until used — including across period renewals.
- Practice draws on your seat allowance first, so purchased minutes are only used once the allowance for that period is spent.
- Automatic top-up is optional and off by default. If an administrator turns it on and chooses a bundle, we will charge the card on file for that bundle when your remaining minutes run low. It can be switched off at any time, and it will not trigger more than three times within one period.
- Purchased minutes are tied to your organisation and cannot be transferred, exchanged or redeemed for cash.
Cancelling
- An administrator can cancel the subscription at any time from Organisation → Billing. Cancellation takes effect at the end of the period you have already paid for — never immediately — so you keep access you have paid for, and you can reverse the cancellation any time before that date.
- Cancelling seats does not remove practice minutes you have already bought, but you will need an active subscription to use them.
- We do not give partial refunds for a period that has already started, except where the law requires it or where we have got something materially wrong.
- We may suspend or end your access if you break these terms, if payment fails and is not resolved, or if we are required to by law. Where it is reasonable to do so, we will contact you first.
If you are buying as an individual consumer
If you subscribe as an individual rather than for a business, you normally have a 14-day right to cancel a distance contract under UK consumer law. Because Practopro gives you immediate access to digital content and services, you are asked to agree that the service starts straight away — and you accept that you lose that 14-day cancellation right once it has been fully performed. Where practice minutes remain unused, contact us and we will deal with your request fairly and in line with your statutory rights. Nothing in these terms affects rights you have by law as a consumer.
Acceptable use
You agree not to:
- share your login with anyone else, or let more people use the service than you hold seats for;
- copy, resell, sublicense or white-label the service, or make it available to anyone outside your organisation, unless we have agreed that in writing;
- reverse-engineer the platform, or attempt to extract the underlying prompts, training framework, scoring rubric or models;
- use the service to harass anyone, to break the law, or to upload content you have no right to upload;
- interfere with the service’s operation or security, or try to access another organisation’s data;
- use automated means to scrape or bulk-extract content from the platform.
Recordings and your content
- Role-play sessions are recorded, transcribed and stored so that you and your managers can review them, and so the AI can produce coaching feedback. Your organisation’s managers and administrators can access those recordings.
- You keep ownership of the content you provide — your sales process, personas, uploaded documents, and your recordings. You grant us the licence needed to host, process and display that content in order to run the service for you.
- We use it to provide and support the service. We do not sell it, and we do not use one customer’s content to train models for another.
- How personal data is handled, how long it is kept, and who processes it is set out in our Privacy Policy.
AI-generated feedback
Practopro’s role-play characters, scores and coaching feedback are generated by AI. They are a training aid, not professional advice, and they can be wrong. Scores are indicative and should not be the sole basis for a decision about someone’s employment, performance or pay. We do not promise that using Practopro will win you sales, secure you a job, or produce any particular result.
Our intellectual property
The platform, its software, design, and the training frameworks, prompts and scoring rubrics we provide remain ours. You get a non-exclusive, non-transferable right to use the service for your own internal training purposes for as long as your subscription is active. Nothing here transfers ownership to you.
Availability
We work to keep Practopro available and functioning, but we do not guarantee uninterrupted service. The platform depends on third-party providers for hosting, voice, speech recognition and AI, and those services can fail or change. We may take the service down for maintenance, and will try to keep that brief and outside working hours where we can.
Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot legally be limited — including your statutory rights if you are a consumer.
Otherwise, and to the extent the law allows: we are not liable for lost profits, lost business, lost opportunity, or for indirect or consequential loss; and our total liability arising out of or in connection with these terms is limited to the amount you paid us in the 12 months before the event giving rise to the claim.
Changes to these terms
We may update these terms as the service develops. If a change materially affects your rights, we will give you reasonable notice — by email or in the app — before it takes effect. Continuing to use Practopro after that point means you accept the updated terms. The date at the top shows when this page last changed.
Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute — except that if you are a consumer resident elsewhere in the UK, you may also bring proceedings in your local courts.
